Position Title: Licensed Therapist/Training Director

Position Title:  Administrative Assistant Supporting Restoration Project:

NewPath Mental Health Services (formerly Christian Recovery Counseling) is looking for a part time (approximately 10 total hours per week working 5 hours twice a week) administrative assistant to work with our administrative team. Primary duties (approximately 75% of time) will involve working within our Restoration Project (RP) Program (this program works with men who have engaged in harmful sexual behaviors); however, this position will also involve general administrative duties for the clinic as a whole (approximately 25% of the time).

Job responsibilities will include:

Restoration Project:

  • Strive to foster a team-based, Christ-centered, and grace-filled approach to RP clients. Present a professional and caring initial point of contact to RP clients and probation officers.

  • Manage, coordinate, and answer phone calls related to the RP program including:

    • Respond to incoming phone inquiries regarding the RP program from probation officers and, on occasion, in regards to referrals for other sexual offender treatment programs.

    • Respond to incoming phone inquiries from potential RP clients including providing general information about our program, ascertaining the client’s offense, and determining if they are an appropriate match for our program.

  • Maintain a detailed and current database of current and prior RP clients including:

    • Current clients in the program/status in the program/duration in program.

    • Former clients and reason for termination.

  • Maintain a detailed and current database of current RP clients’ group status including:

    • Number of clients in each therapy group.

    • Coordinate correct group assignments with client services staff to ensure our electronic record system (Procentive) reflects appropriate group members.

    • Track openings in each group and coordinate group placement with RP Director.

  • Scheduling (in cooperation with the Client Services Coordinator) of RP clients for both incoming, new intake appointments, and for psychosexual assessments. Assist clients with paperwork required prior to intake appointment, ensure corroborating paperwork has been obtained by NewPath prior to the appointment commencing. Coordinate necessary intake paperwork in client’s Procentive file.

  • Coordinate placement of RP clients with appropriate therapists based on client’s insurance providers and in-network therapists.

  • Monitor RP client balances. Communicate high balances to RP therapists and RP Director. Work with therapists, RP clients, and Billing Coordinator to ensure payment plans are in place as necessary. Make calls and send letter to collect payments from RP clients as needed.

Miscellaneous Administrative Duties:

  • This is a new position so we are working out details but it will be duties/projects as needed by the Executive Director, Clinical Director, Billing Coordinator and Client Services Coordinator.

  • Possible duties could include helping with:

    •  accounts receivable (letters and calls),

    • Mailings

    • calls with insurance companies

    • scheduling of conference rooms

    • event planning/coordination

    • fundraisers

    • maintaining vacation requests and time off schedules

    • general bookkeeping

    • general office coordination

  • Skills/Qualifications:

    • High level of integrity and an impeccable work ethic

    • Trustworthy, reliable, self-motivated yet follows direction well

    • Strong written and verbal communication skills

    • Ability to maintain confidentiality

    • Proficient in Microsoft Office

    • Excellent attention to detail

    • Highly organized

    • Candidate must be comfortable working in an overtly Christian environment

    • Proficient in Procentive EHR is a bonus - but can be taught

    • Proficient in social media promotion would be a bonus

    • Ability to thrive in a team environment

  • There will be a potential to add more hours as the agency grows, but this is not guaranteed.
